How We Work With Law Firms

A clear, structured process designed to bring ownership, stability, and long-term clarity to your firm’s technology.

Law firms value predictability, accountability, and clear expectations.

Our approach as a Fractional CTO for law firms is intentionally structured to reduce risk and avoid disruption.

We don’t experiment with your systems, we improve them deliberately.

Our Philosophy

Before explaining the process, it’s important to understand how we approach legal technology.

We believe:

This philosophy guides every engagement.

Step 1: Legal Tech Stack Review

Every engagement begins with a Legal Tech Stack Review.

This initial step allows us to understand:

  • Your current intake workflows
  • How leads move through your systems
  • Where automation exists and where it breaks
  • How tools connect (or don’t)
  • Who currently owns technical decisions

The goal is clarity, not immediate change.

Once we understand your environment, we move into structured assessment.

This includes:

  • Identifying risks and inefficiencies
  • Highlighting intake or data flow gaps
  • Reviewing tool overlap or complexity
  • Prioritizing issues based on impact and urgency

At this stage, firms receive a clear picture of what matters most without being overwhelmed.

After priorities are defined, we focus on stabilization.

This may involve:

  • Improving intake workflows
  • Fixing broken automations
  • Clarifying CRM structure
  • Guiding or overseeing integrations
  • Reducing unnecessary complexity
  • Training internal teams or creating internal tools

Work is front-loaded early in the engagement to address high-impact issues quickly.

Once systems are stabilized, the role shifts into ongoing CTO leadership.

This includes:

  • Acting as the firm’s technical decision-maker
  • Reviewing proposed software changes or additions
  • Ensuring intake and automation remain aligned with operations
  • Providing guidance as the firm grows or changes

Rather than reacting to issues, we help firms stay ahead of them.

What the First 90 Days Look Like

Most Fractional CTO engagements follow a similar early cadence:

Intake review, assessment, and prioritization

We begin by understanding your current systems, workflows, and pain points. Issues are triaged and prioritized so early work focuses on stability and impact, not noise.

Stabilization, fixes, and documentation

Early effort is spent fixing what’s broken and reducing operational risk. Key systems and decisions are documented so progress doesn’t live only in someone’s head.

Optimization and transition to ongoing oversight

Once the foundation is stable, we refine workflows and identify longer-term improvements. From there, the engagement shifts into structured oversight rather than reactive support.

Communication & Collaboration

We work closely with:

  • Firm leadership
  • Operations or administrative staff
  • Marketing or intake teams
  • External vendors (when appropriate)

Communication is:

  • Clear
  • Documented
  • Non-technical when needed

Our role is to bridge the gap between technology and the people who rely on it.

What We Don’t Do

To maintain focus and trust, it’s equally important to clarify what we don’t do:

We don’t sell software

We don’t push unnecessary tools

We don’t operate as a marketing agency

We don’t make changes without alignment
